Privacy policy
What we collect, why, and the choices you have. Effective 8 November 2026.
In short: we collect only what we need to understand your sales team and reply to you. We don't use cookies for tracking, sell personal data or run ads. During a setup, your data stays in your own systems and a person on your team approves anything that reaches a client.
Who we are
AISOS (AI Sales OS) sets up AI sales agents for B2B teams. In this policy, "AISOS", "we" and "us" mean the business behind aisalesos.net, and "you" means anyone who visits the site, fills in our intake form or talks to us about our services. For any privacy question or request, email contact@aisalesos.net.
This policy covers our website, the intake form, and our emails, messages and calls with you. Data we handle inside a client's own systems during a setup is covered separately below, under Client data during a setup.
What we collect
- Intake form answers: your name, work email, role, company details, how you sell today, the tools you use, and the call times you pick.
- Messages and calls: anything you send us by email or Telegram, along with your contact details, and notes from calls we have with you.
- Public business information: before a call, we may look at your company website or public professional profiles, such as LinkedIn, to prepare.
- Basic site statistics: we use Cloudflare Web Analytics, which counts page views without cookies and without building a profile of you. Like most websites, our hosting provider also keeps short-term technical logs, such as IP addresses and browser type, to keep the site secure and running.
We collect only what we need. We don't ask for payment card details on this site, and we don't need sensitive information such as health, religion or political views. Please don't include sensitive details, or personal data about your own customers, in the intake form's free-text answers.
How we use it
- To review your needs, recommend a package and reply to you
- To schedule and prepare your kickoff call
- To deliver, support and improve the setup you sign up for
- To keep basic business records, such as invoices and agreements
- To understand which pages are useful, using the cookie-free statistics above
- To protect the site from spam and abuse, and to meet our legal obligations
We may use AI tools, such as Claude, to help us read your answers and prepare your setup plan. A person reviews that work, and we don't make automated decisions about you that have legal or similarly significant effects. We don't use your information to train AI models.
Emails from us
We email you to reply to your enquiry, confirm calls, and deliver and support your setup. We don't run a newsletter. If we ever send you news or offers, we'll only do so where the law allows, such as with your consent, and every such email will let you unsubscribe. You can also ask us to stop at any time by emailing contact@aisalesos.net.
Cookies and browser storage
We don't use cookies for analytics or advertising. Two things are stored on your device:
- Your intake form draft: while you fill in the form, your answers are saved in your own browser's local storage so you can come back to them. They are not sent to us until you press submit, and the draft is cleared once your answers are sent. You can also clear it by deleting your browser's site data.
- Security cookies: our hosting provider, Cloudflare, may set a strictly necessary cookie to tell people from bots and protect the site. It isn't used to track you.
Because we don't track you across sites, browser "Do Not Track" signals don't change how this site works.
Legal basis
Where data protection laws such as the GDPR apply, we rely on: the steps you ask us to take before a contract, and the contract itself once you sign on; your consent, which you give when you submit the intake form and can withdraw at any time; our legitimate interest in running, securing and growing our business, such as replying to enquiries and preparing for calls; and our legal obligations, such as keeping tax records.
Client data during a setup
When you become a client, we set up AI agents inside your own Claude workspace and the tools you connect, such as your CRM, email, calendar and call recorder. For this work:
- You are in control of your data, and we act on your instructions. Where the GDPR applies, you are the controller and we are your processor.
- We only access what the setup needs, using accounts or permissions you grant, and you can remove that access at any time.
- Your data stays in your own systems. We don't copy your CRM, emails, prospect lists or call recordings into our own systems or use them for other clients.
- Agents prepare drafts, and a person on your team approves anything that reaches a client or prospect.
- When the engagement ends, we remove our access and delete any working notes that contain your data, unless the law requires us to keep them.
The details are set out in our agreement with you. We can also sign a data processing agreement on request.
Who we share it with
We share personal data only with the service providers that help us run AISOS, and only as much as they need:
- Cloudflare: website hosting, security and cookie-free analytics
- FormSubmit: delivers intake form submissions to our inbox
- Zoho Mail: our email provider
- Telegram: if you choose to contact us there
- Anthropic (Claude): the AI tools we use to prepare and run setups
These providers may only use your data to provide their services to us. We don't sell personal data, and we don't share it with others for their own marketing or for advertising. We may also disclose information if the law requires it, to protect our rights or the safety of others, or to a buyer or successor if our business is ever sold or reorganised, in which case this policy would continue to apply.
International transfers
We and our providers may process data in countries outside your own, including the United States. Where required, transfers are protected by recognised safeguards such as standard contractual clauses.
How long we keep it
- If you don't become a client: we delete your intake answers and related emails within 12 months of our last contact, or sooner if you ask.
- Clients: we keep what we need for the length of the engagement, and business and tax records for as long as the law requires afterwards.
- Technical logs: kept by our hosting provider for a short time only.
Your rights
Depending on where you live, you can ask us to:
- Tell you what personal data we hold about you and give you a copy
- Correct data that is wrong or incomplete
- Delete your data
- Send your data to you or another provider in a common format
- Stop or limit how we use it, including for any marketing
- Withdraw your consent, without affecting anything we did before you withdrew it
Email contact@aisalesos.net and we'll respond within 30 days. We may ask you to confirm your identity first. We won't treat you differently for using these rights. If you live in California, these include your rights to know, delete and correct, and we confirm that we don't sell or share your personal information as those laws define it.
Security
We use reputable providers, encrypted connections, strong passwords and two-factor sign-in where available, and we limit who can see your information. No system is perfectly secure, but we take reasonable steps to protect your data. If a breach affects your personal data, we'll tell you and the relevant authorities without undue delay where the law requires it.
Links to other sites
Our site links to other websites and services, such as Telegram and the tools we connect to. This policy doesn't cover them, so please check their own privacy policies.
Children
AISOS is a business service and isn't intended for anyone under 18. If you think a child has sent us personal data, contact us and we'll delete it.
Complaints
If you're unhappy with how we've handled your data, please email contact@aisalesos.net first and we'll try to put it right within 30 days. You can also complain to your local data protection authority at any time.
Changes to this policy
If we change this policy, we'll update it on this page and change the effective date above. If a change materially affects how we use your data, we'll tell clients by email before it takes effect.
